Terms & Conditions
General
The following Terms and Conditions outline the terms under which a delegate may attend an Energy Huddle event or assembly (the “Event”). Before submitting your registration form for the Event, please carefully review these Terms and Conditions. Together with your completed registration form, these Terms and Conditions constitute the entire agreement between you, your organisation, and us regarding the delegate’s registration for and attendance at the Event. By submitting your registration form, you and your organisation agree to be bound by these Terms and Conditions.
Payments
Payment for Event attendance, including all applicable taxes (such as VAT), must be made in full at the time of booking. If The Energy Huddle provides an invoice, payment is due 30 days after the invoice date. If the Event is within 30 days, payment must be made on or before the Event’s start date.
If you’ve booked using a discount including a "super early bird" or “early bird” rate, you must ensure full payment is made according to the discount cut-off date. If payment is not received on time, any discounts will be revoked, and you will be required to pay the full Fee.
Photographs & videography
The Energy Huddle or authorised parties may capture photos, videos, and recordings during the Event for promotional use online, in print, or on social media, for future event marketing purposes. If you wish to opt out, please notify us in advance.
Attendees are not allowed to record or broadcast the Event, including sessions and private discussions, to respect participants' privacy. The Energy Huddle is not responsible for recordings made by other attendees.
Attendee list distribution to the event audience
The delegate list is provided to attendees 14 days ahead of the Event with the sole purpose to aid and facilitate connections between Event attendees. It may not be used for commercial purposes, unsolicited marketing, or shared with third parties.
Attendees will have the option to consent to their inclusion on the delegate list. By opting in, attendees agree to share their business information, such as name, company, and email address, with other attendees for networking purposes. If an attendee opts out, their information will be excluded from the delegate list and they will not receive a copy of the list. The Energy Huddle assumes no responsibility for the misuse of the attendee list by Event attendees. Any misuse of the delegate list may result in disciplinary action at the discretion of the organiser.
The delegate list will be shared exclusively with the Event audience via secure channels and The Energy Huddle reserves the right to withhold or modify the delegate list at any time.
Refund policy & cancellation
Once a ticket has been purchased, The Energy Huddle does not offer cancellations or provide refunds. If a delegate is unable to attend the Event, they may a) designate a substitute, provided 48 hours' notice is given and the substitution is approved at the discretion of The Energy Huddle or b) receive a credit note towards another Energy Huddle Event.
If a Force Majeure event, in The Energy Huddles' reasonable opinion, affects (i) the ability to hold the Event at the planned venue, platform, date, or time, or (ii) the Event generally, The Energy Huddle may, at its discretion, either provide an alternative venue or platform for an in-person or digital Event, or reschedule the Event. You agree that any fees paid to The Energy Huddle will apply to the rescheduled Event, and you will not be entitled to compensation. If The Energy Huddle chooses not to reschedule or is unable to do so, your sole remedy will be a refund or credit towards another Energy Huddle event. A "Force Majeure Event" includes events beyond The Energy Huddle's control, such as supplier failure, venue cancellation, industrial disputes, government actions, natural disasters, pandemics, or acts of terrorism or war. These Terms and Conditions will apply to any rescheduled Event.
